New to the exhibitor portal? Work through these steps in order and you will be set up for your first show in about ten minutes.
Step 1 — Get your login
After your first booking we email you an invitation with a link to set up your account. Open it and choose a username and password.
- The link is personal to your company and expires after 14 days.
- If you never received it, or it has expired, use Request portal access — the button appears at the bottom of every email we send you, or go to the portal sign-in page and follow the request link. We will set one up.
Step 2 — Sign in
Go to the portal sign-in page and enter your username (not your email address) and password.
- Forgotten password? Use the "Forgotten password" link and follow the emailed reset link.
- Forgotten username? Request it from the sign-in page and we will remind you.
- Add the portal to your phone's home screen so it opens like an app.
Step 3 — Check your profile and directory listing
Open Profile. Check your company name, description, logo and contact details, because these appear in the public exhibitor directory for every event you attend. A live preview shows exactly how your entry looks.
Your website and email address stay hidden in the public listing unless you have the Clickable Link attached to your Logo upgrade, which also makes your logo link straight to your site.
Step 4 — Work down your next event checklist
The portal opens on the Next event checklist, with a countdown and a progress indicator. Typical tasks:
- check your directory entry reads correctly,
- share your attendance on LinkedIn — copy the caption or share directly,
- download your social media graphic with your personal QR code,
- read the event setup information pinned at the top,
- check the live traffic map, nearest railway station and arrival times,
- tell us about any Blue Badge, parking or mobility needs,
- after the event, download the delegate data.
Tasks tick off as you complete them, and ones that do not apply can be dismissed.
Step 5 — Review your events, stands and extras
Under Your events you will find each booking: the event, your stand type, your stand number or numbers, any extras you have added and your invoice.
Open Stand details from the header to set your on-stand contact, staff count, your own setup/open/breakdown times and notes. If you have more than one stand at the same event, all allocated stand numbers are shown together.
If a floorplan is available for the event you can see where you are, and on public plans you may be able to pick your own space.
Step 6 — Add upgrades or request a change
- Upgrade my booking lists every available extra with a running total. Pay by card, or by invoice on 7-day terms. Prices are shown plus VAT.
- Request event change moves your booking to a different event. Free up to 28 days before; a £50 plus VAT admin fee inside 28 days. You will be emailed when a decision is made.
Step 7 — Show week: the portal switches itself
Within seven days of your event a Show day tab appears in the mobile tab bar and the portal offers to open there. It shows:
- your stand number and where to find it,
- the running order for the day,
- venue contacts, wifi and access details,
- live traffic, parking and rail information,
- any meetings booked with you.
The label counts you in — "3 days to go", then "Tomorrow", then "Today".
Step 8 — On the day: scan leads
Once you are checked in, Scan a lead appears above your QR code on the Today page. Scan a delegate's badge and the lead is saved against your company straight away.
Step 9 — After the event: download your data
From the day after the show the delegate list appears in Previous events as a branded PDF, CSV or Excel file with selectable columns, and stays available for 180 days. Enhanced business data can be added to your leads — the first record is a free preview, then £0.50 per record with a £10 minimum.
You may also connect your own email platform. A preview is sent first and the contacts are handed over 24 hours later unless you cancel or press Send now.
The portal then defaults back to your events so downloads are one tap away.
